Creating forms

Build reusable forms to request necessary information from your Contractors.

With Lano, you can create a form you can repeatedly send to your contractors to get certain information needed for further collaboration. You can send forms at any point to onboard your freelancers when inviting them to your Lano network (e.g. personnel questionnaires, contracts, confidentiality agreements), request them to work on a task (e.g. contracts, detailed briefings, reminders), or request feedback (e.g. feedback survey, collection of information). Forms could include contracts, questionnaires, or checklists.

Creating a new form

Step 1: You can create your first form in the settings.

  • For onboarding forms go to Settings > Team > Forms.

  • For task request forms go to Settings > Projects and Tasks > Task Request Forms.

Step 2: To create a new form, click "Add" in the top right corner.

Step 3: This will open a page where you can create a form using a modular system of different elements that will open after clicking on "Add Field".

Elements of a form

1. Text area

Ask a question that the partner can reply to by completing the text field.

Example: Previous common projects.

2. Yes/No field

Ask a question that must be answered with "Yes" or "No".

Example: Legal involvement required?

3. Dropdown field

Your partner can choose one answer from a provided list of answers.

Example: Preferred location.

4. Multiple choice field

Your partner can choose one or more answers from a provided list of answers.

Example: Partner’s skills.

5. File upload

Your partner can upload a document.

Example: Previous work examples.

6. Helper text

Include additional information for a form element of your choice.

Example: Guide for filling out a questionnaire etc.

7. Attach contract

Upload a contract or a different document for your partner to read and then sign using a check box or signing with DocuSign / Adobe Sign. You can upload either as a PDF or as a contract created in Lano.

Please note: Optionally, you can include an expiration date for your document. This could be a set date or a certain period of time after which the document loses its validity.

8. Tags field

You can select different tags from your tag library for your partner to choose from. The selected tags will automatically be assigned to your partner.

Example: Certain skills or locations when searching for a partner.

9. Formatted text

Include a text to your template (similar to the helper text) and use different formatting options.

Example: Formatted guide for filling out a questionnaire etc.

10. Date field

Include a date field in your template.

Example: Add the earliest starting date.

Sending a form to your Contractor(s)

Once you’ve created a form, you can then send it to one or multiple contractors either once or repeatedly. You can send it when you’re inviting a freelancer to join your Lano network or at a later stage as described step-by-step below.

Step 1: Go to Compliance, click on "+send" in the top right corner and choose the "Send form" option.

Please note: You will not be able to send a Form if you have not already created one.

Step 2: Add a name, choose the scope of work, and one of the forms template that was created earlier.

Step 3: Choose if this is a one-time or recurring sending.

Step 4: Choose one or more recipients of your form.

Step 5: Review the details and send the form to your contractor. Once your contractor completes the form and submits it, you will be able to access their replies from the form’s overview page under Compliance.
