You can add new payroll employees manually or automatically through an HRIS sync. This article walks you through both processes and outlines how onboarding works once a draft is created.
The onboarding process is manually triggered by your business. You can initiate onboarding after a payroll employee is added to the platform — either manually or via HRIS — and their draft profile is fully completed with all required data. The onboarding process includes three steps:
Once all required fields of the draft are filled, you can click Start onboarding to begin the process.
The draft status updates to Under review.
Lano reviews the submitted employee data.
If anything’s missing or unclear, our team will contact you for clarification.
If the employee's start date hasn’t been reached, the status updates to Onboarded.
If the start date has already passed, the employee status becomes Active.
To manually add and onboard a payroll employee:
Go to Team or Onboarding.
Click Add team member.
Select Payroll team member as the type.
Enter the employee details:
First name and last name
Email address
Associated entity
Type of pay: Salary or Hourly pay
Pay amount
Click Add team member.
The employee is added to the platform in Draft status, and you're redirected to their draft profile.
Each draft consists of required sections for onboarding and a progress indicator.
You can return to a draft any time from the Payroll team members tab on the Onboarding page.
Mandatory sections must be filled before the Start onboarding button becomes active.
Use the progress indicator or scroll manually to navigate.
To provide the required data:
Click Edit, enter the data, and click Save changes.
Click Upload to add documents. Drag files into the modal or choose them from your device.
To update or remove files, click Edit, make changes, and save.
If a form is required:
Click Fill and upload → Download the form.
Complete it and re-upload it in the same modal.
✅ Completed sections are marked with green checkmarks.
🕓 Pending sections show grey circles.
Once all mandatory information is entered, click Start onboarding to manually complete Step 1 and begin the onboarding process. All remaining steps will be handled by Lano. If anything is missing or needs clarification, our team will notify you and assist with the resolution.
If you have an HRIS integration set up:
Drafts are created automatically during the next sync with Lano when a new team member is added in your HRIS.
Fields mapped from the HRIS are read-only in Lano and must be updated directly in your HRIS system.
HRIS-synced employees are marked with a green badge and a link icon.
Hover over the badge (visible on the Team members list and in the employee profile) to check the connected HRIS and the time of the latest sync.
Apart from these differences, the onboarding flow — including completing the draft, manually triggering onboarding, and subsequent Lano review — follows the same steps as the manual process.

All onboarding drafts
Items requiring action
Those under review
Already onboarded team members
